A client may request proof that machine-translated content is post-edited under a controlled, recognized framework. For language service providers, machine translation post editing certification requirements are therefore not limited to training a group of linguists or purchasing an MT platform. They concern the organization’s ability to demonstrate qualified personnel, documented workflows, independent review, and objective evidence that full post-editing is consistently delivered.
The primary international reference is ISO 18587, Translation services – Post-editing of machine translation output – Requirements. It establishes requirements for the full post-editing of machine translation output and should be considered alongside ISO 17100 where an organization also provides broader human translation services. The applicable certification scope, however, must reflect the services actually delivered and controlled by the language service provider.
What ISO 18587 Certification Actually Covers
ISO 18587 is an organizational service standard. It does not certify individual post-editors as ISO-certified professionals. A training certificate may demonstrate that an individual has completed a course, but it is not equivalent to certification of a language service provider’s post-editing service.
Certification or independent assessment against ISO 18587 evaluates whether the organization has implemented and maintains a conforming system for full machine translation post-editing. The auditor examines documented procedures and, more importantly, evidence that those procedures are used in live operations.
This distinction is material in tenders and supplier qualification processes. Buyers commonly need assurance that a provider can manage post-edited machine translation at scale without lowering accountability for quality, confidentiality, reviewer independence, or competence. An individual credential alone does not establish that capability.
ISO 18587 addresses full post-editing, not every possible use of machine translation. Light post-editing, raw MT delivery, content triage, and other reduced-quality workflows may be commercially valid services, but they should not be represented as ISO 18587-conforming full post-editing unless the applicable requirements have been met. Service descriptions, quotations, and client agreements must make the distinction clear.
Machine Translation Post Editing Certification Requirements
Certification readiness begins with a defined service scope. The organization should identify the language pairs, subject areas, technology environments, project types, and locations or operational teams included in the scope. An overly broad scope creates audit risk if the provider cannot show consistent control across all stated activities.
A conforming system normally requires documented controls for the complete service cycle. This includes client requirements, project registration, assignment of qualified personnel, preparation of machine translation output, full post-editing, review, final delivery, and management of nonconformities. Procedures should state responsibilities, required records, approval points, and escalation routes rather than merely describe general intentions.
Client agreements require particular attention. The provider must establish the intended purpose of the content and the specifications that define an acceptable result. This can include target audience, terminology, formatting, reference material, file requirements, quality expectations, deadlines, and data-handling obligations. Full post-editing cannot be evaluated objectively if the project requirements are incomplete or inconsistent.
The organization also needs a controlled approach to the MT environment used for the assignment. The key issue is not whether an engine is neural, statistical, proprietary, or publicly available. The issue is whether the provider has assessed its suitability for the project and manages associated risks. For sensitive content, this includes controls over data transmission, retention, customer approval, and the conditions under which public or third-party engines may be used.
Competence Requirements for Post-Editors and Reviewers
Personnel competence is one of the most closely examined areas in an ISO 18587 audit. The post-editor must have the competence required to assess and correct MT output fully, not simply the ability to make surface-level changes. The organization must define its qualification criteria and retain evidence that assigned personnel meet them.
Competence evaluation should cover linguistic capability, textual and cultural competence, technical competence, and relevant domain knowledge. Post-editors also need demonstrable machine translation post-editing competence, including the ability to recognize typical MT errors, determine whether output meets the agreed purpose, apply terminology and client instructions, and revise content to the required quality level.
A practical competence file can include education and professional experience, language-pair validation, domain assessments, onboarding records, test assignments, performance evaluations, corrective coaching, and continuing professional development. No single document is sufficient in every case. The evidence should support the organization’s own stated criteria and assignment decisions.
Reviewers require separate consideration. Full post-edited output must be subject to review by a person other than the post-editor. The reviewer must be competent to assess the target text against the project specifications and identify defects that could affect fitness for purpose. Providers should be able to show reviewer assignment records and traceable resolution of significant findings.
Process Controls That Auditors Expect to See
An audit does not stop at procedure manuals. Auditors typically sample completed projects to test whether the documented process was followed. The strongest evidence is a complete, traceable project record that connects the customer request to the final approved delivery.
For each sampled assignment, the organization should be able to demonstrate how requirements were captured, how a suitable post-editor and reviewer were selected, which tools and resources were authorized, and how the review was completed. If an issue arose, records should show the decision taken and who authorized it.
Quality control must be proportionate to the stated service. For ISO 18587 full post-editing, a final result comparable to human translation is expected for the agreed purpose. Productivity targets, post-editing effort, and technology costs may influence operational planning, but they cannot override client specifications or eliminate the required review step.
The provider should also monitor process performance. Useful measures may include review findings, recurring error categories, client complaints, on-time delivery, rework, terminology compliance, and supplier performance. Metrics only add value when they lead to action. Auditors will look for evidence that trends are analyzed and that corrective actions address root causes rather than simply close individual incidents.
Documentation and Audit Evidence
A certification assessment generally requires a controlled documentation set. This usually includes the scope statement, quality policy or equivalent management commitments, competence criteria, supplier and personnel qualification procedures, project management procedures, post-editing and review instructions, confidentiality controls, complaint handling, corrective action procedures, and internal audit records.
Document control matters as much as document existence. Staff must use current versions, changes must be authorized, and obsolete instructions must not remain in operational use. Where workflow instructions are embedded in a translation management system, the organization should be able to show how those controls are maintained and communicated.
Internal audits and management review provide essential evidence of system maturity. Before seeking external certification, the organization should audit its own ISO 18587 processes, document findings, correct nonconformities, and evaluate whether management has reviewed performance, risks, resources, and improvement actions. A system created immediately before an external audit, with no operational records or management involvement, is unlikely to demonstrate effective implementation.
Preparing for Certification Without Creating Unnecessary Complexity
The most effective implementation approach is to map existing operations against ISO 18587 before writing new procedures. Many established language service providers already have project records, vendor databases, review steps, and quality controls. The task is to identify gaps, formalize responsibilities, and make evidence consistent across teams and technology platforms.
Where ISO 17100 is already implemented, ISO 18587 can often be integrated into the existing quality management structure. The organization should still avoid assuming that general translation controls automatically cover machine translation post-editing. MT-specific suitability assessment, post-editor competence, full post-editing requirements, and independent review must be explicitly addressed.
Certification is most credible when the scope matches real operating practice. Build the system around services the organization can evidence, test it through internal audits, and treat audit findings as operational improvements rather than administrative obstacles. That approach creates the proof clients, procurement teams, and certification assessors need to rely on the service.
