A post-editing quality manager is not simply a senior linguist who checks machine-translated output. The role sits at the control point between machine translation technology, qualified post-editors, client specifications, and the language service provider’s documented quality system. Organizations that train post-editing quality managers need to establish competence that can be demonstrated objectively during an ISO 18587 audit.

The central issue is consistency. If quality decisions vary by language pair, customer account, project manager, or reviewer, the provider cannot reliably show that post-editited content fulfills agreed requirements. A structured training program turns quality management from an individual judgment into a controlled operational process.

The Quality Manager’s Role Under ISO 18587

ISO 18587 specifies requirements for the full post-editing of machine translation output. It applies where the agreed service requires output comparable to human translation, not merely understandable content or raw machine translation delivery. The standard places clear emphasis on competent personnel, defined processes, project specifications, and verification before delivery.

A post-editing quality manager should therefore understand more than linguistic error detection. They must be able to determine whether a project is suitable for machine translation and full post-editing, confirm that client requirements are adequately documented, assign qualified personnel, monitor process performance, and address nonconformities.

In many language service providers, this responsibility is divided among operations, vendor management, and quality assurance personnel. That model can work, provided responsibilities and authorities are documented. However, the organization still needs a person or function capable of overseeing the quality controls that apply specifically to machine translation post-editing.

Training should distinguish ISO 18587 from ISO 17100. ISO 17100 establishes requirements for translation services and includes translation, checking, review where specified, and final verification. ISO 18587 addresses the particular risks introduced when machine translation output becomes the starting point for a full post-editing workflow. A quality manager must know when the two frameworks operate together and when a client requirement calls for a different service model.

Define Competence Before Delivering Training

An audit-ready training program begins with a competence profile. A generic course certificate is not sufficient evidence that an individual can manage post-editing quality. The provider should define the knowledge, practical skills, and decision-making authority required for the role.

The competence profile should cover machine translation limitations, full post-editing requirements, terminology and style controls, project risk assessment, supplier qualification, error classification, corrective action, and record management. It should also address information security and confidentiality, especially where machine translation engines or client data environments are involved.

Experience requirements require careful treatment. A quality manager may have strong linguistic credentials but limited experience with machine translation workflows. Conversely, a technology specialist may understand engine behavior while lacking the linguistic competence to evaluate whether post-edited output fulfills client expectations. Training and supervised practice should close these gaps rather than assuming one qualification replaces the other.

The organization should document how it evaluates initial competence. Build Training Around Operational Decisions

Effective training should use the decisions quality managers actually make. Theory is necessary, but it does not show whether a person can control a live post-editing service.

The program should first establish the service boundary. Trainees need to recognize the difference between raw machine translation, light post-editing, full post-editing, and human translation. They must know that a request for full post-editing carries a higher quality commitment and requires output that meets the purpose agreed with the client.

The next area is project analysis. Quality managers should learn to assess subject matter, content sensitivity, language pair, intended use, volume, deadlines, available terminology, source-text quality, and client instructions. For example, marketing content, regulated medical content, and safety-critical instructions may present different risk profiles. Machine translation may be technically available for all three, but suitability for a specific project depends on the service agreement, quality objectives, and the controls the provider can apply.

Training should then address specification management. The manager must verify that requirements are clear enough for post-editors and reviewers to act consistently. This includes target audience, terminology sources, style guidance, formatting needs, country conventions, required tools, and acceptance criteria. Vague instructions such as “make it sound natural” are not adequate quality criteria unless the organization converts them into usable project guidance.

A third operational area is personnel assignment. Trainees should understand how to verify post-editor competence for the language pair and subject field, how to assess familiarity with the selected machine translation environment, and how to identify cases requiring additional review. The assignment decision must be traceable, particularly where the provider uses external resources.

Use Calibration to Control Subjective Judgment

Post-editing quality cannot be managed effectively if each evaluator applies a different threshold for acceptable output. Calibration is therefore one of the most valuable components of quality-manager training.

Calibration exercises should use representative samples with predefined client specifications. Participants independently assess the same post-edited segments, identify errors or deficiencies, classify their severity, and decide whether the work can be accepted, corrected, or escalated. The group then compares decisions against an approved rationale.

The purpose is not to impose artificial uniformity on every linguistic choice. Languages and content types require professional judgment. The purpose is to ensure that quality managers apply the same criteria to issues that affect fitness for purpose, accuracy, terminology, completeness, style requirements, and client instructions.

A useful calibration record identifies the sample, applicable specifications, participants, decisions made, areas of disagreement, final resolution, and resulting process improvement. Over time, these records can reveal recurring weaknesses. If managers repeatedly disagree about terminology deviations or machine-generated omissions, the provider may need to improve its instructions, terminology controls, supplier training, or review process.

Assess Performance, Not Attendance

Attendance records demonstrate that training occurred. They do not demonstrate competence. An ISO-focused training program should include assessment criteria that reflect the manager’s responsibilities.

Written assessment can confirm understanding of ISO 18587 requirements and internal procedures. Practical assessment should test the ability to review a project brief, determine service suitability, identify missing specifications, assess sample output, record a nonconformity, and propose an appropriate corrective action. A supervised case assessment is particularly valuable for newly appointed quality managers.

Assessment results should be retained with the individual’s competence records. If a person does not meet the required threshold, the organization should document the action taken, such as coaching, additional supervised assignments, reassessment, or restriction of authority until competence is demonstrated.

Independence also matters. Where possible, the person assessing a quality manager should not be solely evaluating their own work or decisions. In smaller organizations, complete separation may not be practical. In that case, a director, external assessor, or competent peer from another business unit may provide an appropriate additional control.

Maintain Audit-Ready Evidence

During certification or surveillance audits, auditors commonly examine whether competence claims are supported by records and whether practice follows documented procedures. Quality-manager training should produce evidence that is current, controlled, and connected to operational outcomes.

Relevant evidence usually includes the competence profile, training materials, attendance records, assessment results, calibration records, authorization decisions, and periodic competence reviews. It should also include quality records showing that trained managers have applied the process: project risk assessments, assignment approvals, corrective actions, internal audit findings, and management review inputs.

Document control is essential. If ISO 18587 procedures or client requirements change, the organization should assess whether retraining is needed. Annual refresher training may be appropriate, but frequency should be based on risk, performance data, process changes, new technology, and the volume of post-editing work handled by the individual.

Connect Training to Continual Improvement

A mature program does not treat training as a one-time compliance event. Quality managers should use complaints, rejected deliveries, internal audit findings, post-editor feedback, and quality metrics to identify where competence needs reinforcement.

For example, a rise in terminology-related corrections may indicate weak project specifications rather than poor individual performance. Repeated missed omissions may suggest that verification instructions are inadequate or that productivity targets are unrealistic. Training should address the underlying process cause, not only remind staff to be more careful.
